The club hereby established shall be officially known as Score Stokvel (hereinafter referred to as the 'Stokvel').
Score Stokvel is established as an open-membership voluntary savings and financial mutual self-help group. It is a hybrid grocery and burial club with one pack per tier. Its primary objectives are to promote financial discipline, build collective purchasing power for family groceries, hygiene cleaning products, and meat vouchers/purchases, and foster mutual fellowship and growth among all members. The burial part of the club is the R50.00 bereavement support described in clause 3.1.
Founding Chairperson: Welcome Kagiso Mogorosi | Deputy Chairperson: Karabo Evelyn Moabelo | Treasurer: Lesego Damaries Mkondo | Secretary: Khanyisa Vero Chauke.
Open Membership: Membership is open to all individuals who accept the rules and values of Score Stokvel.
Dual Household Registration: A single primary member is eligible to register up to two (2) separate membership slots for their household and designated dependents, doubling their product allocation. Each slot has its own tier, target, savings and pack.
Per-person rules: Fines, loan limits and the R50.00 bereavement payment apply per person, so a member with two slots is one borrower. Each slot has one vote on a poll.
Membership cap and joining window: The Stokvel is capped at 300 slots across the club. A joining window closes on a day the Executive Committee sets before each season; applicants after that day wait for the next season.
Operational year: In this Constitution the operational year means the season described in Article 11.
New Member Joining Fee: A standard joining fee of R300.00 is charged exclusively to new members upon registration. The fee is charged per person. Half is the platform's share and half is club income. A super admin may waive the fee.
2026 & 2027 Joining Fee Exemption: The joining fee shall be entirely free for all new members joining during the 2026 and 2027 operational years.
Break from a Season: Members can request a temporary break from an active season, provided they have a reasonable reason that must be validated and approved by the Executive Committee. A break pauses the instalments and the R18.00 platform fee. The instalment is fixed again on the member's return.
Re-joining Without Penalty: Upon returning from an approved seasonal break, members are reinstated without being charged any joining fee.
No exit during a season: No member exits during a season except by death (clause 3.2), a family transfer (clause 2.4), an approved break, or a withdrawal that the Executive Committee approves.
Withdrawal and refund: A member who withdraws is refunded after the year-end purchase. Fines and loans come off the member's savings first. If the withdrawal is within 6 months from the member's joining date, the member receives what is left. After 6 months from joining, the member receives half of what is left, less an exit fee of R500.00, and never less than R0. The forfeited half and the exit fee go to club income. The exit date is the date the Executive Committee approves the withdrawal.
This refund rule does not apply to a death (clause 3.2), a family transfer (clause 2.4) or a break that ends in the member's return.
Family Transfer Eligibility: An active member in good standing may formally transfer their registered membership slot(s) to a spouse, immediate family member, or designated dependent. A member is in good standing when nothing is overdue.
Transfer Procedure: The transferring member must notify the Secretary in writing. The incoming family member assumes all rights and obligations without paying a new joining fee. The new holder takes the tier, savings, loans and fines as they stand, from the next month.
Bereavement Support Contribution: Due to unforeseen circumstances, should Score Stokvel face the fatality of an active member, each surviving member shall make a mandatory once-off donation of R50.00 towards the deceased member's funeral/bereavement fund. The R50.00 is paid per person.
Payment and Proof: Each member pays the R50.00 directly to the deceased member's nominated beneficiary within 5 days of the Secretary's notice, and confirms the payment in the club with proof. The Stokvel does not collect the R50.00.
Late Payment: A member who misses the 5 days owes a fine of R50.00 as well as the R50.00 donation. The fine goes to club income.
Primary Beneficiary Succession: Upon a member's passing, their designated beneficiary or surviving spouse/family member has the first right to take over the membership slot and accumulated tier contributions.
Secondary Contribution to Funeral: In the event that the written nominated beneficiaries are unable, unavailable, or decline to take over the membership slot, all accumulated funds contributed by the deceased member to the Stokvel up to that date shall be contributed directly towards their funeral expenses.
The R18.00 platform fee is payable for every slot in each of the 11 contribution months. It is included within the listed tier contribution amounts and covers the platform only. The Stokvel has no bank charges. Each tier has one pack and a target for the season, being 11 monthly payments of the grocery savings amount:
Tier 1 — Non-Perishable Groceries (R250/month total): R232.00 Grocery Savings + R18.00 Platform Fee = R250.00 total monthly payment. Season target: R2,552. Core focus strictly on long-shelf-life basic groceries (starch, flour, cooking oil, bread spreads, canned foods).
Tier 2 — Groceries & Cleaning Supplies (R350/month total): R332.00 Grocery and Cleaning Savings + R18.00 Platform Fee = R350.00 total monthly payment. Season target: R3,652. Dual coverage combining non-perishable basic groceries and household cleaning supplies (Handy Andy, Domestos, laundry detergents).
Tier 3 — Groceries, Cleaning Supplies & Meat Vouchers (R550/month total): R532.00 Full Package Savings + R18.00 Platform Fee = R550.00 total monthly payment. Season target: R5,852. Comprehensive package combining basic groceries, cleaning supplies, and meat vouchers & bulk meat purchases. Tier 3 meat is issued once, at year-end.
Due dates: There is no fixed due day. Each payment covers 30 days and the next payment is due when that cover ends. There are no grace days. Each missed month costs a fine of R30.00.
One change per season. A slot cannot change tier while it is on a break or behind on payments.
Notice and effect: Written notice to the Executive Committee by the 25th takes effect from the 1st of the next month.
Closing dates: Upgrades close after month 5. The last downgrade is by notice on 25 October, effective 1 November.
Payment after a change: The monthly payment becomes (new target − amount saved so far) ÷ months left. A downgrade shortfall smaller than one month is paid once, in the first month after the change.
Downgrade excess: If savings already exceed the new target, the excess is refunded at year-end.
No top-up: There is no separate top-up payment; the catch-up is spread through the equal payments above.
Pack: The member receives the best-fit pack at year-end under Article 11.
Member Responsibility: Transporting allocated products and grocery hampers from the central distribution point to a member's home is at the member's own cost.
Assisted Delivery: Transport can be arranged with the Executive Committee upon request. Delivery is charged at the courier's actual cost, payable prior to dispatch.
Delivery place and date: The members agree the delivery place and date by poll by 30 November.
Uncollected goods: Goods that are not collected are kept for the number of days the admins set (usually 3, depending on the size of the pack) and are then delivered at the member's cost.

Every payout needs three approvers.
Each slot receives a monthly statement.
The Treasurer checks the bank statement against the Stokvel's records each month.
Virtual meetings are held on Microsoft Teams every other Sunday from February to December, starting at 19:30. Apologies are due 1 hour before the start (by 18:30). Unexcused non-attendance incurs a R20.00 fine.
Interest: Short-term member loans carry interest of R30.00 for each R100 or part of R100 for the 30 days, counted from the payout. Example: a loan of R1,000 costs R300; a loan of R550 costs R180.
Limits: The minimum loan is R500. The maximum is 70% of the member's contributions for the year, less loans already out.
Approval: Any one admin can approve a loan.
Loan types: There are standard and express loans. The express fee is deducted from the loan at disbursement and is kept out of the pool.
Cutoff: New loans stop at the contribution cutoff date in Article 11.
Unpaid amounts: Unpaid loans and unpaid fines come off the member's savings before the year-end pack.
Club income: Interest and other club income are kept as a reserve. The admins decide how the reserve is used; each decision needs the three approvers and is recorded with its date, the decision, the amount and the approvers.
By signing below, the founding Executive Committee officers hereby ratify and adopt this Constitution (v15) as the official governing rules of Score Stokvel.
Each member accepts the current version of this Constitution when joining.
This Constitution is amended by a member vote on a poll. A majority is more than half the votes cast, with one vote per slot.
